Digital management of field teams is becoming a key tool for companies operating simultaneously across multiple markets and sales locations — especially when precise tracking of working hours, location presence and sales results in real time is required, without relying on manual records that are prone to errors and do not provide an immediate picture of field activity. For this reason, Prolink developed an expansion of the business application for Mativa Group with the goal of fully digitalizing the work of promoters and sales representatives at point-of-sale locations in Croatia, Slovenia and Hungary — an expansion that transforms the existing application into a comprehensive field team management system connecting field presence, sales results and operational information into a unified and transparent digital framework.
Digital location-based check-in
The application allows each promoter to digitally check in upon arrival at work via a location system that confirms in real time that the person is physically present at a specific sales location — eliminating the need for manual attendance records and all the administrative processes that accompany them. Check-ins take place at defined time points during the shift, and the system is designed to allow multiple location check-ins throughout the working day, confirming continuity of presence at the sales location. This approach gives supervisors a clear timeline of shift duration with automatic verification of actual geographic position that leaves no room for inaccuracies or manipulation possible with conventional attendance tracking systems.
Digital sales tracking per promoter
Each promoter has a predefined list of items from the company's entire product range in the application, structured in a way that allows quick and easy entry of sold quantities without unnecessary steps that would slow down work at the point of sale. Sales are recorded on a daily basis, providing precise insight into sales achieved per individual sales location and per promoter — insight that is available in real time and requires no subsequent manual processing. All entered sales data is automatically processed within the system and generates summary overviews by day, week, month and year that enable continuous tracking of sales trends, campaign effectiveness and individual promoter performance without additional administrative effort.
Central monitoring module for team managers
Team managers have access to a central monitoring module that provides a consolidated overview of all promoters and their sales in one place — a tool that transforms the management of a larger number of field employees, for example ten or more promoters spread across different sales locations in multiple countries, from an operationally demanding task into a clear and straightforward process. Real-time insight into work results across the entire region enables faster decision-making, timely intervention when results deviate from plan and a clear data-based foundation for evaluating the effectiveness of field activities rather than relying on subjective assessments.
Tracking of sales representatives and field communication
In addition to promoters, the system covers sales representatives who visit sales locations — they also use location-based check-in upon arrival and departure, providing complete traceability of field visits and a clear record of visits actually completed per sales location. Sales representatives can enter text comments directly from the application, opening a structured channel for recording observations from sales locations — product display status, operational issues, communication with retail chain staff and all other operational information that serves as a valuable data source for further sales and management decisions. These data, combined with location and sales records, provide a complete picture of field activities that was not available before digitalization.
International application and data security
The application is designed to support simultaneous operation across multiple markets — Croatia, Slovenia and Hungary — without differences in functionality or data, ensuring a unified standard for tracking work, sales and field activities across the entire region. All location data, attendance records and sales results are processed through a protected system with clear access rules that ensure the confidentiality of business information and the stability of the application in daily use — security standards that are particularly important for systems processing sensitive business data related to sales results and field team activities in a competitive market.
